Purpose of this questionnaire
We currently support schools and establishments providing advice and guidance on educational visits. This is outlined below. We are seeking opinion on a potential restructuring of the Cornwall Safety on Educational Visits SLA. This would involve the cost per pupil rising by a small amount (around 30p per pupil). In return all core training provision (EVC, EVC Renewal, MOVE, Visit Leader Training) would be available at no further expense to schools and establishments in addition to the current offering.
What do we do?
We support the planning of safe, compliant, and enriching off-site activities. We provide advice and guidance on risk benefit assessment, legal requirements, and best practices to ensure visits are educational, inclusive, and well-managed.
What do we advise on?
- Compliance with relevant legal requirements
- Interpreting, refining and presenting national guidance at a local level
- Appropriate leader competence for all types of outdoor learning and off-site visits, and ensuring that this is appropriately assessed
- Safeguarding during outdoor learning and off-site visits, including about requirements for Disclosure and Barring Service checks
What we can undertake:
- Monitoring the work of EVCs and supporting establishments to ensure that their EVCs’ training needs are identified and met
- Engaging actively with appropriate networks and organisations such as AAOLEV (OEAP), so as to have access to advice about areas in which they are not personally knowledgeable
- Maintaining and sharing knowledge of national requirements and initiatives, and of national schemes such as the Learning
- Implementing effective and proportionate policies and procedures for the notification and approval of outdoor learning activities and off-site visits Outside the Classroom Quality Badge, national governing body accreditation schemes and AALA licensing
- Approving (or disallowing) plans for activities and visits on behalf of the employer, where this has not been delegated to establishment level
- Monitoring the provision of outdoor learning and off-site visits, including whether risks are appropriately assessed and managed
- Reviewing policies and procedures in the light of lessons learned, and sharing good practice widely
- Contributing to the investigation of serious accidents and incidents
Educational Visits Planning Forms Through the COEV Portal
All offsite educational visits require Headteacher / Youth Service Manager approval before they can proceed. However due to the nature and variety of some educational visits it is strongly recommended that professional advice and expertise is sought by schools planning to take their students on visits that could be classed as 'enhanced' i.e. heighten risk due to remoteness/complexity.
All maintained schools and any academies, or other organisations, which have purchased the Safety On Educational Visits SLA are required to submit the following types of visit for approval:
Day Visits more than 50 miles from base
Day Visit Adventure
DofE/Ten Tors
Residential
Overseas
Overseas Expedition
Notification for overseas visits should be submitted 3 months before departure and other visits 1 months before (overseas expeditions >12 months).
The information should be submitted via the Cornwall Outdoors Educational Visits (COEV) online portal on the right (please note that the online form requires a separate log in that is not the same as the log in for this platform).
When your complete form is received we will look at your plans, risk assessments and activity providers list, to check that all necessary measures and controls have been put in place, to ensure the safety of the students and staff involved. We can then endorse your trip and offer any additional advice deemed appropriate.

Your data will be stored securely and will only be accessible by members of Together for Families. Your consent for your data to be used in the evaluation will be assumed from you starting the survey.

How will you store my personal data?
Survey responses will be collected using the Let’s Talk Cornwall survey software. By completing this survey, you consent to this transfer of your information. This includes any information which may represent your personal data.
All the information you share with Together for Families will be stored safely for the duration of the evaluation. It will be destroyed one year after it has finished.
